Privacy policy

Privacy, in operating language.

What Productive Labs collects, why the Operating Underwrite needs it, how optional email and SMS work, who processes data for us, and how to ask for deletion.Effective September 22, 2026 · Version 2026-09-22

The short version

The intake exists to understand and respond to a potential operating-system engagement. Optional email notes and texts are separate. Mobile numbers are not sold for third-party marketing.

01

Who we are

This Privacy Policy (“Policy”) is issued by Productive Labs (“Productive Labs,” “we,” “us,” or “our”). It applies to information collected through productivelabs.ai, including the fit-call request, Operating Underwrite, optional email notes, and the Productive Labs text-message program.

Contact: hello@productivelabs.ai.

A signed proposal, statement of work, NDA, or data processing agreement governs information processed inside a client system we build or operate. If that agreement conflicts with this Policy for a client engagement, the signed agreement controls that engagement.

02

Scope and roles

For this website and its intake, Productive Labs is the organization that decides why and how prospect information is processed. For a client operating system, the client is typically the controller of its business data and Productive Labs acts only as instructed in the signed engagement.

This Policy does not cover websites, products, or messaging programs operated by other companies, even if we link to them.

03

Information we collect

Information you provide

Depending on the path you choose, we may collect:

  • identity and contact data: name, work email, company, role, and optional U.S. mobile number;
  • operating descriptions: workflow, failure, systems, constraints, desired result, and related notes;
  • qualification data: urgency, company scale, access readiness, decision role, and investment range;
  • consent records: privacy, email-note, and SMS choices, notice version, and time of acceptance;
  • support correspondence sent to hello@productivelabs.ai.

Do not submit passwords, payment-card data, protected health information, government identifiers, biometric data, precise geolocation, contents of others’ messages, or confidential records that are not needed to evaluate the opportunity. If you do, Productive Labs may delete or redact that material without completing the request.

Information collected automatically

  • technical data such as browser type, device class, referring URL, and approximate location derived from network routing;
  • security data used for rate limiting, abuse prevention, and request integrity, including hashed rather than retained raw identifiers where configured;
  • content-free journey events such as a step beginning, a submission completing, or a booking link opening—not the narrative content of your answers.

Information we do not seek

Productive Labs does not require sensitive categories of personal data to use this website. We do not knowingly collect information from children, and we do not use the website to make automated decisions that produce legal or similarly significant effects.

04

How we use information

We use information to:

  • operate the website, intake, receipts, and founder review;
  • prepare guided intake feedback and assess whether a conversation is appropriate;
  • respond to requests and, when separately permitted, follow up by email or text;
  • maintain an auditable consent, opt-out, and security record;
  • protect the website, prevent fraud and abuse, and enforce these terms;
  • understand completion and conversion using content-free journey events;
  • comply with law, carrier rules, 10DLC campaign requirements, and lawful requests;
  • establish, exercise, or defend legal claims.

We do not sell personal information and we do not share it for cross-context behavioral advertising as those terms are used in California and similar U.S. state law. We do not use website submissions to train public foundation models. AI guidance, when enabled, is used to structure intake—not to make a binding sales, credit, employment, housing, insurance, or other consequential decision.

05

Legal bases

Where a legal basis is required, we rely on:

  • performance of steps you request before a contract, such as answering a fit-call or Underwrite;
  • our legitimate interests in operating a secure professional website, evaluating opportunities, and keeping records;
  • consent, for optional email notes, optional SMS, and AI processing of completed operating sections where consent is collected;
  • compliance with legal obligations, including telecommunications, anti-spam, tax, and accounting rules;
  • protection of vital interests or public-interest tasks only if they arise.

You may withdraw optional consent at any time. Withdrawal does not affect processing that already occurred, or processing still required to complete a request you made, keep a security record, or comply with law.

06

AI-assisted guidance

When AI guidance is enabled, relevant intake answers may be routed through Vercel AI Gateway and a configured model provider to generate structured prompts or observations. Identity, reply, and private-note fields are designed not to be sent to the guidance model. A submission intended for commercial review is reviewed by Productive Labs before a recommendation is made.

Model providers process prompts to return a response. Productive Labs does not authorize those providers to use your intake to advertise to you or to train their public models where the configured route disables that use. Provider terms still apply to their systems.

07

Email notes

Optional operating-system notes are commercial email. They are sent only after an unchecked opt-in. Transactional receipts about a request you already made are not a marketing list. Unsubscribe instructions live in the email terms.

08

Text messages

If you provide a U.S. mobile number and check the SMS box, Productive Labs may send recurring informational and marketing texts as described in the SMS terms. Reply STOP to cancel, HELP for help. Message and data rates may apply. Consent is not a condition of using the site or requesting a fit call. A phone number submitted without that box is not used for automated texting; it may be used only for a person-to-person callback about the same request.

The messaging program page is the public 10DLC campaign description. Text messaging originator opt-in data and consent are not shared with third parties for their own marketing.

09

Service providers and disclosure

We use companies that process information on our instructions to host, store, route, send, secure, or review the website and intake. They receive only what they need for that service.

ProviderUse
Vercel Inc.Website hosting, content delivery, serverless functions, and AI Gateway model routing
NeonDurable intake storage when production database intake is enabled
ResendTransactional email delivery for receipts and founder notifications
GitHubAuthentication for the protected founder review queue
U.S. 10DLC messaging providerApplication-to-person text delivery after a number and campaign are registered

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We may also disclose information:

  • to professional advisers under confidentiality;
  • if we transfer, merge, or reorganize the business, subject to this Policy or equivalent protection;
  • when required by law, regulation, carrier, numbering authority, or lawful process;
  • to protect people, systems, rights, or the integrity of the website;
  • with your direction or separate permission.

Productive Labs does not describe Underwrite submissions as public portfolio material without separate permission.

10

Cookies, analytics, and Do Not Track

The site uses storage needed to operate intake drafts, attribution, and journey measurement. Journey analytics are designed to record events, not answer text. We also measure public website usage with cookieless Vercel Web Analytics, which records page views and named conversion events without advertising cookies or the text of a form. We do not run a third-party advertising pixel on this website.

Browsers may send a Do Not Track signal. There is no uniform standard for responding to it. We honor documented opt-out, unsubscribe, STOP, and deletion requests as described here.

11

Retention and deletion

Durable intake is retained for the configured receipt window, which defaults to 180 days and may be set between 30 and 730 days for legal, security, or commercial reasons. Browser-tab drafts expire and are not a server-backed account. Active reviews, commercial relationships, deletion requests awaiting verification, security logs, and records on legal hold may be kept longer until the obligation ends.

Consent, opt-out, and STOP records may be kept as long as needed to prove we honored your choice and to prevent accidental re-messaging.

You may request deletion or correction by emailing hello@productivelabs.ai. We will verify the request before acting and may retain a minimal record when needed for security, legal, tax, or transactional integrity.

12

Security

Productive Labs uses administrative and technical safeguards appropriate to the intake, including restricted founder access, secret separation, rate limits, and records of important state changes where configured. No internet service can promise absolute security. You are responsible for the accuracy of what you send and for not transmitting material this Policy asks you to withhold.

Read the Security & Assurance page for the system design principles used during delivery.

13

International transfers

Productive Labs is operated from the United States. Providers may process information in the United States or other countries with different data-protection laws. By using the website, you understand that your information may be transferred to the United States. We use providers’ contractual and technical protections where they are offered, including standard contractual clauses or equivalent transfer tools when a provider makes them available.

If you are in the European Economic Area, United Kingdom, or Switzerland, the legal bases above apply. You may lodge a complaint with your local supervisory authority. We do not appoint a separate data protection officer for this website; privacy requests go to hello@productivelabs.ai.

14

Your choices and rights

Required processing consent covers handling the information needed to answer your request. Optional email-note consent and optional SMS consent are each collected separately, are never pre-checked, and are not required to submit a request.

Depending on your location, you may have the right to:

  • access, correct, or delete personal information we hold about you;
  • receive a portable copy of information you provided;
  • opt out of optional email or SMS;
  • withdraw consent where processing is based on consent;
  • appeal a refusal, or lodge a complaint with a supervisory authority.

Submit requests to hello@productivelabs.ai with the subject “Privacy request.” We may need to verify your identity. We will not discriminate against you for exercising a privacy right. Authorized-agent requests must include proof of authority.

Before you submit, the editable draft stays in this browser tab. Productive Labs does not represent that local copy as a server-backed account, resume service, or export vault. Server-backed status and deletion controls begin only after a durable submission returns a secure receipt.

15

Notice at collection (California and similar states)

At or before collection we tell you: the categories of personal information we collect (identifiers, professional or commercial information you submit, internet or electronic activity, and inferences used only to evaluate a potential engagement); the purposes listed in this Policy; that we retain intake for the window in “Retention and deletion” unless a longer legal or security need applies; that we disclose information to the providers named above; and that we do not sell or share personal information for cross-context behavioral advertising.

We do not collect sensitive personal information to infer characteristics about you, and we do not use or disclose sensitive personal information for purposes that require a “limit the use” right. If a Global Privacy Control or similar opt-out preference signal is detected, we treat it as a request not to sell or share; this website does not sell or share in any event.

16

U.S. state privacy notices

If you are a consumer under California, Virginia, Colorado, Connecticut, Texas, or similar U.S. state law, the categories we collect are identifiers, commercial or professional information you submit, internet or electronic activity on this site, and inferences drawn from intake only to evaluate a potential engagement. We collect them from you and from your device. We use them for the purposes in this Policy. We disclose them to the providers listed above. We do not sell personal information and we do not share it for cross-context behavioral advertising.

California residents may request the categories and specific pieces of personal information collected, deletion, correction, information about disclosure, and to opt out of sale or sharing (already our default). We do not offer a financial incentive that requires a separate notice. Shine the Light requests may be sent to the same email; we do not disclose personal information to third parties for their direct marketing. Nevada residents may opt out of a “sale” as defined by Nevada law by emailing the same address; we do not sell in that sense.

17

Children

This website and its messaging programs are intended for business use by adults 18 years or older. Productive Labs does not knowingly collect personal information from children under 13, or from anyone under 16 where that is the applicable age. If we learn we have, we will delete it.

18

Changes

We may update this Policy as the website, intake, or law changes. The effective date above identifies the version presented with a submission. Material changes that affect optional messaging will be reflected in the public SMS, email, and messaging pages before new campaign traffic is sent. Continued use after the effective date constitutes acceptance of the updated Policy to the extent permitted by law.
